The New SharePoint Hero Link – A Game Changer for File Sharing in Microsoft 365

And how DeliverPoint is already helping organizations stay in control of sharing links

Last week at the Microsoft 365 Conference in Las Vegas, Microsoft announced an exciting new capability set to roll out later this year: the Hero Link. It’s a smart enhancement to the way files are shared across SharePoint and OneDrive—designed to simplify collaboration while maintaining control.

If you haven’t seen it yet, the full announcement is available here:

The Hero Link is a persistent and upgradeable link—meaning that when you share a file, you can later update its permissions (for example, from a specific user to the whole organization) without needing to generate or distribute a new link. This removes a common pain point where links need to be recreated every time access needs change, often leading to multiple outdated links being passed around. Hero links can be created easily, including by copying the URL from the address bar from within a document

While Hero Links will streamline the user experience, organizations still need visibility and control over who has access to what—especially as sharing becomes more flexible.

That’s exactly where DeliverPoint comes in.

With DeliverPoint today, organizations can already:

  • Run comprehensive reports on sharing links—including across entire site collections or Hubs.
  • Find and manage “Anyone” links that could pose security or compliance risks
  • Bulk-update sharing links, including setting or changing expiration dates
  • Change who can access a sharing link without needing to manually navigate to each item
  • Delete unwanted sharing links in bulk, helping you clean up oversharing fast

The below image is an example of The DeliverPoint Sharing Links report run at Site level. The report scans the entire site for any Sharing Links which can then be sorted, filtered, and modified in bulk. Using the Change Settings option, users can be reassigned to the same Sharing Link.

Whether you’re in IT, Security, or a Site Owner, DeliverPoint gives you actionable insight into your Microsoft 365 sharing landscape—well beyond what’s available natively in SharePoint or OneDrive.

As soon as Microsoft makes the Hero Link APIs available, DeliverPoint will support reporting and governance over Hero Links too.

That means you’ll be able to:

  • Discover where Hero Links are used
  • Audit who has access via Hero Links
  • Apply controls like expiration dates or access changes
  • Include Hero Links in your standard permissions governance reports

We’re watching this space closely and will be ready to integrate Hero Links into DeliverPoint’s toolset as the feature becomes generally available.

Final Thoughts

Hero Links mark a thoughtful evolution in Microsoft’s approach to file sharing—removing friction without compromising control. And for organizations looking to stay one step ahead, DeliverPoint is already empowering users and administrators to audit, govern, and clean up sharing links at scale.

As always, we’ll continue evolving DeliverPoint in lockstep with Microsoft 365 to give you complete visibility into permissions and sharing activity—across your entire tenant.

Let me know your thoughts on the new Hero Link—and if you’d like to see DeliverPoint in action, we’d be happy to show you how it can help your team stay in control.

SharePoint’s standard lookup column only lets you connect lists within the same site—useful, but limited. With the latest release of Lightning Forms and Forms Studio, you can now create lookup fields that pull data from external systems like SQL, JIRA, and Salesforce using Copilot Connectors. In this post, I’ll show you how we built a Helpdesk Issues form that pulls related issues directly from JIRA, and explain the difference between Lightning Forms and Forms Studio.

Lightning Tools Forms Studio is more than a form builder—it’s a complete solution builder for SharePoint and a cost-effective Power Platform alternative. Design custom forms, automate approvals and actions, package and redeploy solutions, and even migrate legacy InfoPath or Nintex forms with ease.
