The SharePoint Permission Level Limited Access can be confusing to Site Owners and Site Collection Administrators who are not (in most cases) trained as SharePoint Farm Administrators. The SharePoint permission level Limited Access doesn’t give a description to Site Owners and Site Collection Administrators as SharePoint also doesn’t give any clear indication as to how the user received ‘Limited Access’ or what ‘Limited Access’ even means.

How does a user receive Limited Access?

Site Owners and Site Administrators might also not be aware that you are not able to assign ‘Limited Access’ to users or groups within SharePoint, as SharePoint automatically assigns a user ‘Limited Access’ when the user has been granted permission directly to an item with broken permission inheritance. For instance, let’s use a user called Sandy as an example. Sandy has no Permissions to a SharePoint Site. However, Permission Inheritance is broken on a Document Library within that SharePoint site, and Sandy has been granted the ‘Edit’ permission level on a document via the ‘Share’ button in SharePoint.

Sandy will automatically be assigned ‘Limited Access’ to that SharePoint Site and the Document Library which the document (that Sandy has edit permissions to) is nested within. ‘Limited Access’ serves as a navigation method. Sandy still has no Permissions to that SharePoint Site or the Document Library.

In some cases you might even see some users in your SharePoint site with ‘Limited Access’ when you know that that user has been granted a permission level higher than that.

Let’s use a user ‘Phill’ as an example, Phill is a member of the SharePoint group ‘Home Owners’ which has full control to the site ‘Home’.
